DESIGN: Architecting an Automated “Intake Manager”
Our approach began with our signature collaborative workshop to map out every step of their existing process. The goal was to design a comprehensive, automated solution that lived right inside their Google Cloud environment. We architected an intelligent workflow powered by Google Cloud’s Vertex AI and the Agent Development Kit (ADK).
The design was centered on an “Intake Manager Agent,” a specialized AI built to handle the entire client onboarding process from start to finish. This wouldn’t be a simple script; it would be an intelligent agent capable of reasoning and processing, built by our expert D3V AI/ML Engineers. As a Google Partner, we leveraged the most advanced tools for the job, including Gemini models, ensuring the solution was both powerful and secure.
DEVELOP: Building a Tireless Digital Assistant
With the strategic design in place, our D3V Cloud Native Developers and AI/ML Engineers began the development phase.
- Automated Outreach: We started by creating a Cloud Function to automatically send the initial client intake form via email the moment a new lead was identified.
- AI-Powered Data Processing: This was the core of the solution. We developed the ADK Intake Manager Agent, which used a Vertex AI Gemini model to read the completed intake forms. The agent was trained to understand, clean, and structure the submitted data, moving beyond simple data extraction to intelligent processing.
- Centralized Tracking: The cleaned, structured data was then automatically populated into a designated Google Sheet, creating a single source of truth for all intakes and eliminating manual data entry.
- Intelligent Follow-Up: The agent was also designed to identify any missing information in the intake forms and automatically trigger a custom follow-up email to the client, specifying exactly what was needed.
- Experts-Review-Ready Reports: Once all information was complete, the agent automatically generated a concise intake report and delivered it to the appropriate experts for review.
Throughout the build, we ensured the client’s team was involved, providing a “fruitful educational experience” and empowering them to manage and understand their new automated system.
VALIDATE: Giving Experts Their Time Back
The solution completely transformed the firm’s efficiency. By automating the end-to-end intake workflow, we helped them significantly reduce manual effort and accelerate case readiness.
