The Challenge
The healthcare provider’s primary operational challenge was a classic case of “knowledge sprawl.” Over the years, they had accumulated thousands of essential documents in PDF format, scattered across numerous folders within their Google Drive. This repository included a wide array of critical information:

The native search capabilities of the cloud drive were insufficient for their needs. Clinicians and administrative staff found it nearly impossible to locate specific information quickly. Our Solution
To address the provider’s challenge, we implemented Vertex AI Enterprise Search (now known as Vertex AI Search). This powerful, out-of-the-box solution is designed to provide a consumer-grade search experience over enterprise data. It allows organizations to build powerful search applications without the complexity of managing and tuning the underlying search infrastructure.
Our solution focused on creating a secure, intuitive, and powerful search engine directly on top of the provider’s existing Google Drive data:
- Data Connection: We securely connected Vertex AI Search to the provider’s Google Drive as a data source. The platform has a native connector that respects all existing file permissions, ensuring that data security and HIPAA compliance were maintained. Clinicians would only be able to search for and see results from documents they already had permission to access.
- Indexing: Vertex AI Search then automatically indexed the content of all the PDFs. This process goes far beyond simple keyword indexing. It uses Google’s advanced AI models to understand the context, semantics, and structure of the information within the documents.
- Search Application Deployment: We deployed a simple and intuitive search interface for the clinicians and staff. This interface allows users to ask questions in plain, natural language, just as they would in a Google search.
Instead of hunting through folders or trying to remember exact file names, a clinician could now simply ask:
- “What were the results of Jane Doe’s MRI from last month?”
- “Show me the standard treatment protocol for Type 2 diabetes.”
- “Find all documents related to patient John Smith’s cardiac history.”
The system would then provide direct answers and snippets grounded in the source documents, along with links to the original PDFs for verification.
